Functional Job Description:

Class Summary
The Secretary II works under general supervision and is responsible for performing receptionist duties and providing administrative and clerical support to supervisory and professional staff. This position is governed by agency/institution policy.

Examples of Work

  1. Acts as receptionist by greeting and directing visitors, screening and routing phone calls, responding to routine questions regarding policy and procedures or making referrals to other sources of information.
  2. Types and/or edits various documents including letters, memoranda, reports, forms and narratives from composition or rough draft using a computer.
  3. Provides other clerical support for administrative and supervisory staff by copying, faxing, etc. using standard office equipment.
  4. Open and sort incoming mail. Assistance in the delivering and meter stamping of outgoing mail.
  5. Maintains agency calendar, prepares itineraries and schedules to remind staff of upcoming deadlines and activities.
  6. Assists, as needed, with maintenance of various computerized and paper files, records and logs, and retrieval of information for reference or to compile reports.
  7. Maintain sufficient supplies for the agency office by conducting physical inventories receiving and restocking supplies for the agency office by conducting physical inventories receiving and restocking supplies and alerting supervisor of the need to replenish supplies.
  8. Participates in setting up workshops, conferences and other meetings by compiling and typing materials, scheduling and registering participants and maintaining attendance and evaluation data.
  9. Performs related responsibilities as required or assigned.

Special Job Dimensions

  • Ability to use various computer software.
  • Ability to operate multi line telephones.
  • Ability to operate the standard keyboard associated with a computer or typewrite.
  • Ability to operate a printer associated with a computer.
  • Ability to lift small boxes of materials up to 25 pounds.
  • Ability to drive the agency vehicle.

Working Relationships
The Secretary II has regular contact with department staff, other state agency/institution personnel, client/students, personnel of regulated entities and the general public.

Knowledge, Abilities, and Skills

  • Knowledge of grammar, punctuation and spelling.
  • Knowledge of general office procedures.
  • Ability to operate computer and other standard office equipment.
  • Ability to provide information and assistance to office staff, visitors and callers.
  • Ability to extract and organize information.

Minimum Qualifications
The formal education equivalent of a high school diploma; plus one year of specialized training in the secretarial field; plus three year's experience as a secretary. Current Arkansas drivers license required.
